Booking & Client Policies
Aesthetics by Sarah & Vine Wellness Hub
We want every visit to feel welcoming, comfortable and professional. Please read our policies before booking so you know what to expect.
Booking your appointment
Appointments can be booked through our online booking system or by contacting reception.
Please check your chosen practitioner, treatment, date and time carefully. If you are unsure which service to book, our reception team can help direct you to the appropriate practitioner.
Any treatment-specific requirements or additional booking terms will be explained before your appointment is confirmed.
Booking deposits
Our online booking system requests a 20% deposit to secure your appointment. This is an advance payment towards your treatment and will be deducted from the total on the day.
Where a practitioner uses different deposit arrangements, these will be made clear before booking.
Cancellations and rescheduling
Please give at least 24 hours’ notice if you need to cancel or rearrange your appointment.
With at least 24 hours’ notice, your deposit can be transferred to a rearranged appointment or refunded if you cancel.
For cancellations with less than 24 hours’ notice, or missed appointments, we may retain some or all of your deposit to cover the reasonable loss caused by the cancellation. Any amount retained will take account of costs saved and whether the appointment can be filled.
We understand that emergencies happen. Please contact us as soon as possible so we can consider your circumstances.
Please use the booking system or email reception@aestheticsbysarah.co.uk to request a change. Social media messages may not be seen promptly.
These arrangements do not affect any statutory cancellation or refund rights that apply to your booking.
Late arrivals
Please arrive ready for your appointment at the booked time.
If you arrive late, your appointment may need to be shortened to avoid delaying the next client. The booked price may still apply where the appointment time has been reserved for you.
If there is insufficient time to provide the treatment safely, we may need to rearrange it. Any cancellation charge will be assessed fairly under the policy above.
If we need to change your appointment
Occasionally, illness or unforeseen circumstances may mean we need to cancel or rearrange an appointment.
We will contact you as soon as possible and offer an alternative appointment. If this is unsuitable, any payment for the cancelled appointment will be refunded.
Consultations and treatment suitability
New clients must complete an appropriate consultation before treatment. Depending on the service, this may take place during the appointment or require a separate booking.
For some treatments, consultation forms will be sent at the time of booking. Please complete these before your appointment so your practitioner can review the information.
Please provide accurate information about your health, medication, allergies, pregnancy or breastfeeding, and any recent treatments. Let your practitioner know if anything changes before your visit.
Your practitioner will explain the proposed treatment, relevant risks, expected benefits, alternatives and aftercare so you can make an informed choice.
Some treatments require a separate prescribing consultation or patch test. These requirements must be completed before treatment can proceed.
Treatment will only go ahead where your practitioner considers it suitable and safe. If treatment cannot proceed, we will explain the reason and discuss any appropriate alternatives and payment arrangements.
Age requirements
Age requirements vary between services. Please check with us before booking for anyone under 18.
We do not provide cosmetic botulinum toxin or injectable cosmetic filler treatments to anyone under 18. Proof of age may be requested.
Where a practitioner offers services for children or young people, they will explain the relevant consent and attendance arrangements before the appointment.
Prices and payments
Please check the current price when booking. Any additional charges, including a separate consultation or prescribing fee, will be explained before you agree to proceed.
We accept card and cash payments. The remaining appointment balance is normally payable on the day.
Offers, treatment courses and packages may have additional terms. These will be provided before purchase.
Treatment outcomes and aftercare
Results and experiences vary between individuals. Your practitioner will discuss realistic expectations and any recommended course of treatment.
Please follow the aftercare advice provided and contact your practitioner promptly if you have a concern following treatment.
For urgent medical symptoms, seek appropriate medical assistance rather than waiting for an email or social media reply.
Refunds and treatment concerns
If you are unhappy with any aspect of your treatment or experience, please let us know so the concern can be assessed.
We do not guarantee a particular result. However, this does not affect your legal rights where a service has not been provided with reasonable care and skill or as agreed.
Requests relating to unused treatment courses or packages will be considered under the terms supplied at purchase and your statutory rights.
Gift vouchers
Gift vouchers are available through participating practitioners.
Before purchasing, please check who the voucher can be used with, which services it covers, its expiry date and any other conditions. A voucher issued by one practitioner may not be redeemable with another practitioner at the hub.
Treatment suitability requirements still apply when using a voucher.
Accessibility and additional support
The hub is on the ground floor. Please contact us before your visit if you have access requirements or would benefit from additional support.
We will discuss reasonable adjustments with you, including any communication, mobility or sensory needs, to help make your appointment comfortable.
Respectful behaviour
We ask everyone visiting the hub to treat clients, practitioners and reception staff with courtesy and respect.
Threatening, abusive or discriminatory behaviour will not be accepted. We may end an appointment or decline future bookings where necessary to protect the safety and wellbeing of others.
Photographs and marketing consent
Your practitioner will explain whether photographs are needed as part of your treatment record.
Permission to use photographs, videos or testimonials on our website or social media will be requested separately. You can decline marketing photography without affecting your care.
You can withdraw permission for future marketing use by contacting us.
Practitioners at the hub
The hub brings together Aesthetics by Sarah’s team and independent practitioners.
Your booking confirmation will identify your service provider. Where your appointment is with an independent practitioner, they are responsible for delivering that service and explaining their treatment terms, professional responsibilities and privacy arrangements.
Reception can help you contact the appropriate practitioner with questions or concerns.
Feedback and complaints
We welcome feedback and take concerns seriously.
Please speak to your practitioner or email reception@aestheticsbysarah.co.uk, giving your name, appointment date and a brief description of the concern.
We will acknowledge your complaint, explain who will handle it and provide an expected response timeframe. Where the concern relates to an independent practitioner, we will help direct it to them.
If you remain dissatisfied, we will explain any relevant further complaints or dispute-resolution options.
